Accreditation is not the point — it is the evidence that the process behind the work is real. Here is what we hold, what each one actually covers, and how we prove it day to day.

What the quality system does day to day

A management system that only exists at audit time is decoration. These are the four things that make it real.

Documented at the point of work

Procedures live where the work happens — on the engineer's device, in the assignment instructions, on the cleaning specification — not in a manual nobody opens between audits.

Recorded as it happens

Asset scans, photographs, audit scores and sign-offs are captured on site and timestamped. Records reconstructed afterwards are not records.

Non-conformities have to close

A failed audit line, a missed SLA or an incident opens an action with an owner and a date. It stays open until it is closed, and it appears in your monthly report either way.

Reviewed on a fixed cycle

Monthly at contract level, quarterly with you, annually across the business. Trends get acted on before they become a pattern you notice first.

How a job becomes a record

Every job on your estate runs through the same five steps, which is what makes a compliance question a search rather than a request to your supplier.

  1. Job raised

    Every request enters through the helpdesk and gets a reference, a priority and an owner — whether it came from a tenant, an officer on patrol or a scheduled PPM task.

  2. Asset identified

    The job is attached to a specific asset on the register, not to a building. That is what makes history, warranty and lifecycle reporting possible later.

  3. Attendance recorded

    The engineer or officer scans in on site. Arrival time is captured against the SLA, not typed in later from memory.

  4. Work evidenced

    Photographs before and after, parts used, readings taken, and the certificate where the task is statutory. Captured on the device before the job can be closed.

  5. Signed off and filed

    The record attaches to the asset and appears in your portal. Compliance questions become a search rather than a request to your supplier.

Compliance questions

Can we see your certificates before we tender?

Yes. Certificates, insurance schedules and policy documents are sent as a pack on request, and we would rather you had them early than discover a gap at pre-qualification stage.

Are you on any approved supplier frameworks?

How do you vet subcontractors?

Insurance, accreditation, RAMS and references are checked before appointment and reviewed annually. A subcontractor working on your site works to our standard and is managed by us — you should never have to chase one directly.

What happens if you fail an audit?

It opens a non-conformity with an owner and a date, the same as any other failure. It appears in your monthly report. Hiding a failed audit from a client is how a quality system becomes decoration.
